XpertPortage is a comprehensive software platform designed specifically for managing and optimizing the daily operations of consulting firms and companies involved in portage salarial (payroll umbrella/contracting).

1. Identifying and Solving Core User Experience Problems

My primary goal was to transform the XpertPortage interface from a functional-but-cluttered application into a highly efficient, scannable, and intuitive tool for consultants and administrators. The initial design suffered from low information density and visual ambiguity, particularly in high-frequency tasks like meeting management. For instance, the original Meetings Overview presented near-identical cards for multiple meetings, forcing users to squint and read for differentiation, which led to a high cognitive load.

2. Streamlining the Meeting Scheduling Workflow

The process of scheduling a new meeting was unnecessarily complex and scattered, which is a major point of friction for busy professionals. The original "Add Meeting" flow split date, time, and time zone into separate, poorly aligned fields.

3. Enhancing Data Scannability and Decision Making on the Dashboard

The consultant dashboard was an area of high-density information that suffered from visual redundancy and a lack of clear prioritization. Elements like project progress cards were repetitive, and key metrics, such as absence days or expense statuses, were presented in overly dense charts that were hard to decipher at a glance.

  1. I introduced a clear visual hierarchy by differentiating meeting cards with distinct titles and using color and position to highlight critical information like "Pending" RSVPs, increasing the urgency and visibility of required actions. For the weekly calendar, I advocated for a switch to a more spacious, traditional calendar view that minimizes clutter and ensures meeting blocks are easily readable, even when stacked, directly addressing the user's difficulty in quickly processing their weekly schedule.

  2. I entirely streamlined the scheduling workflow by adopting the integrated calendar picker found in one of the prototypes. This approach allows users to select the date and visualize the time slot on a single, intuitive interface. Furthermore, I redesigned the participant management to be scalable, preventing the form from becoming unwieldy with a long list of attendees. Crucially, I simplified the time settings by ensuring the time zone defaults to the user's local setting, adding a layer of smart context that reduces the chance of scheduling errors—a key factor in improving the client's operational efficiency.

  3. I applied the principle of "less is more" to enhance data scannability. For the project overview, I recommended consolidating the view to feature only the most critical active project, providing context on what the progress percentage represents (e.g., "Time Budget Used"). Across the dashboard, I improved data visualization by:

    • Refining the Absence Chart with cleaner color-coding and clearer legends.

    • Introducing small, universally recognized icons (e.g., a checkmark for "Completed" expenses) alongside text to enhance the clarity of status columns, ensuring rapid comprehension of complex data.

    • Implementing widget prioritization to allow users to customize and focus on the data most relevant to their specific role (Consultant vs. Manager), turning the dashboard into a powerful, personalized decision-support tool.

    By solving these problems through focused UX/UI redesign, the XpertPortage platform is now equipped to offer users a more efficient, less frustrating experience, directly translating to higher adoption rates and reduced administrative overhead for the client.
